Context
A vitamins and supplements reseller was selling direct-to-consumer across multiple countries and languages through Shopify. While Shopify handled the storefront and checkout well, the operational side of the business — product catalog management across dozens of brands, inventory tracking, dynamic pricing across regions, order fulfillment, and accounting — was fragmented across spreadsheets, manual processes, and disconnected tools.

As the company expanded into new markets with an ever-growing catalog of third-party products, this patchwork approach was creating fulfillment delays, pricing errors, and inventory discrepancies that were cutting into margins and slowing growth.
Challenges
- Pricing for each country required a manual calculation accounting for product costs, tariffs, currency exchange rates, shipping, and target margins — with different tax handling depending on whether duties were prepaid or collected on delivery. Shopify's native pricing couldn't handle this complexity.
- Order fulfillment was largely manual: the team received orders from Shopify, then separately coordinated with shipping carriers to generate labels and update tracking. Warehouse staff verified SKUs by eye with no scanning, slowing pick-and-pack and introducing errors.
- Inventory levels lived in multiple places with no single source of truth, leading to overselling and stockouts on key supplement SKUs.
- Financial data had to be manually entered into QuickBooks, creating reconciliation headaches and lagging visibility into actual profitability by product and region.
- Supplement-specific requirements — lot tracking, expiration dates, and regulatory compliance per country — added another layer of complexity that off-the-shelf tools didn't address.
Solution
We built a central operations system that runs the back of the business — pricing, inventory, fulfillment, accounting — while Shopify handles the customer-facing storefront.
Automatic Pricing by Country
The system calculates the right price for every product in every country automatically — factoring in costs, currency exchange rates, shipping, tariffs, and target margins — then updates the storefront. When exchange rates or costs change, prices adjust across all markets without manual intervention.
Order Fulfillment & Shipping
When an order comes in, the system guides warehouse staff through pick-and-pack with barcode scanning — verifying SKUs, quantities, and lot numbers in real time. It selects the best carrier for the destination, generates the label, and updates the customer with tracking automatically.
Inventory & Compliance
Inventory is centralized with supplement-specific features including lot number tracking and expiration date monitoring — requirements that off-the-shelf tools couldn't address across multiple regulatory jurisdictions.
Accounting Automation
Sales, inventory changes, and cost-of-goods data flow into QuickBooks automatically on a scheduled sync — giving the finance team near-real-time visibility into revenue, margins, and inventory valuation without manual reconciliation.
The system prices products across 6+ currencies with live exchange rates — calculated automatically per destination country with the correct tax handling.
Results
Eliminated manual pricing calculations across all target markets with a rules-based engine supporting live exchange rates and DDP/DDU tax modalities.
Cut order-to-shipment time through barcode scanning, automated carrier selection, label generation, and tracking updates back to Shopify.
Centralized inventory with supplement-specific lot tracking and expiration monitoring, eliminating stockouts and overselling.
Automated financial data flow into QuickBooks, eliminating hours of weekly manual reconciliation.
